This role requires exceptional organizational skills, strong communication abilities, and the ability to handle confidential information with discretion.
The Executive Assistant plays a crucial role in facilitating the smooth operation of daily activities and managing various administrative tasks to ensure efficiency and productivity.
We are seeking a skilled multi-tasker with excellent communication and organizational skills.
This person must be a proficient user of technology, specifically in Microsoft Office Word, Outlook, and some knowledge of Excel.
We are an agency of the Kentucky United Methodist Church with over 150 years of service to children and families.
We serve children and families with histories of abuse, neglect and/or family trauma that have resulted in emotional or behavioral challenges in the children.
We have a variety of programs both residential and community based.

Summary of Function This full-time position serves as administrative support to the CEO, and Development Department.
This position manages multiple tasks simultaneously, requires excellent organizational and communication skills and a positive, helpful demeanor.
Job duties and responsibilities include the following:
Job Specific Duties and Responsibilities related to Administrative Assistant Development Department (60%) Assists Donor Appreciation Associate with gift entry, thank you letters and emails as needed especially during busy times such as 5th Sunday Offerings and end of the year giving.
Generates letters and reports through mail merge in Microsoft Office Word and Excel.
Assists Development staff with printing and assembling fundraising materials and any other assistance needed.
Understands and uses donor database for donor records including entering donor information and notes, entering cash gifts when need, generating reports and mail merges.
Enters record of all non-monetary gifts (gifts in kind) in database and generates thank you letters to those donors.
Assists Development Coordinator with organizing grant information for the completion of grant requests and grant reports to funders.
Maintains Department calendar of events.
Handle routine business matters and related responsibilities as assigned by supervisor.
Executive Assistant to CEO and Board of Trustees (30%) Assists President/CEO with Board meetings including preparing and distributing materials for meetings, maintaining Board Member information, coordinating and serving meals and/or refreshments, and other duties for the Board as needed.
Takes minutes and maintains the official records of Board meetings and committees.
Helps CEO arrange travel plans as needed, and maintain records and receipts.
Assists with business correspondence to donors and other stakeholders.
Maintains agency licensing information.
Creates and distributes internal newsletter and staff directory to staff and board members.
Office Administration (10%) Greets guests, helps them feel welcome and directs them to the appropriate person.
Answers agency phone and directs calls during business hours.
Primary administrator of the phone system including setting up agency voice mail, adding users and informing users on how to utilize features.
Maintains campus office supplies inventory, fills office supply requests, and orders supplies weekly.
Schedules Board room and conference room use.
Adheres to strict standard of confidentiality relative to all generated or filed documents or paperwork.
Pay Range is:
