The Executive Assistant will play a critical role in managing the daily operations of the executive offices and ensuring smooth communication and coordination within the organization.
The successful candidate will possess excellent organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality.
This position reports directly to and supports the CFO, but also supports the CEO, COO, and EVP/CSO.
Essential functions and responsibilities include:
Greet and manage visitors of the C-Suite, ensuring a positive and professional experience.
Maintain and update calendars and contacts for members of the C-Suite, ensuring accurate scheduling and efficient time management.
Coordinate and organize various activities such as meetings, travel arrangements, corporate events, and other engagements.
This includes arranging detailed travel plans, compiling documents, and creating itineraries.
Develop various communications, including general correspondence, memos, charts, tables, graphs, presentations, etc.
, ensuring accuracy and professionalism.
Assist in special projects requested by the C-Suite, which may involve planning and coordinating multiple presentations, disseminating information, and organizing company-wide events.
Review meeting materials disseminated by others to the C-Suite and ensure that all materials contain adequate information.
Distill information into concise briefs when necessary.
Organize programs, events, meetings, or conferences by coordinating facilities, caterers, speakers, and budgets.
Prepare agendas, notices, meeting minutes, transcribe dictation, and compose confidential correspondence, reports, and other complex documents.
Prepare and submit expense reports for members of the C-Suite, ensuring accuracy and adherence to company policies.
Maintain strict confidentiality of all corporate, personnel, and research matters.
Prepare and manage the company's organization charts as the C-Suite directs.
Maintain the presentability of the executive offices and meeting spaces, ensuring a clean and professional environment.
Sort and open mail for the C-Suite, draft responses or reply by phone or email when necessary and respond to regular requests for information.
Consistently manage email accounts for members of the C-Suite, responding appropriately and flagging emails requiring specific attention.
Monitor and assist in task list management for members of the C-Suite, ensuring deadlines are met and priorities are managed effectively.
Stay updated on professional and technical knowledge by attending workshops, reviewing publications, establishing networks, and participating in professional societies.
Managing and ordering office supplies and other materials.
Perform other job-related duties as assigned.

Qualifications Include:
Bachelor's degree or equivalent experience preferred.
Two to five years of experience as an Executive Assistant or in a similar role, preferably supporting top-level executives.
Proficiency in Microsoft Office Suite and other relevant software.
Excellent communication and organizational skills.
Manages multiple tasks simultaneously.

Estimated Salary: $20 to $28 per hour based on qualifications.
